Optimization and securing of the global supplier master data

Transdev, a global player in sustainable mobility operating in over 17 countries, initiated a strategic digital transformation to improve the reliability of its supplier master data. With autonomous local entities and heterogeneous tools, the quality of supplier data was a critical issue for ensuring the smooth operation and compliance of the procure-to-pay (P2P) process.

To meet these needs, the group chose the ROK Solution platform to deploy a tailor-made no-code application. The objective: to centralize, standardize, and secure supplier management, while automating key controls such as IBAN verification, collection of legal documents, and integration with ERP systems.

Thanks to this approach, Transdev was able to reduce processing times, minimize errors, and enhance traceability of exchanges. The project is part of a broader initiative for hyperautomation of business processes, combining workflows, RPA, and no-code orchestration.

Before implementing ROK, each subsidiary had its own methods for creating and managing supplier records. The result: incomplete data, duplicates, compliance risks, and major difficulties in harmonizing the process across the group.

Thanks to the no-code application developed with ROK, Transdev implemented a solution that enables:

• Guided supplier data entry using format rules, mandatory fields, and controlled lists
• Automated verification of critical information through the integration of OCR and RPA modules
• Triggering of dynamic approval workflows based on supplier type, country, or amount
• Collection and storage of supporting documents (e.g. company registration, tax certificates) in a central repository
• Validation of requests through a clear approval path involving procurement, finance, legal, and compliance teams

Each supplier creation or update is now traceable, archived, and aligned with the group’s internal policies, ensuring a robust and shared governance of supplier data. This secure process also contributes to the automation of internal audits and risk management, in line with the group’s overall strategy.

The solution deployed by Transdev helps secure the entire supplier lifecycle, from initial registration to integration with management systems. Each step of the process is tracked, archived, and subject to precise validation rules, strengthening internal control and reducing the risk of fraud.

The automation of sensitive checks — such as IBAN, SIRET, or legal status — relies on technologies combining OCR and RPA. This data is then directly integrated into complex ERPs, including SAP, avoiding manual re-entry and ensuring seamless operational continuity.

This setup ensures full interoperability with existing information systems while strengthening the group’s regulatory compliance. It aligns with the broader strategy of IT governance and internal audit automation, applying a rigorous approach to traceability and supervision of critical processes.

The entire system is built on a no-code orchestration layer accessible to business teams, allowing them to adjust validation paths, roles, and controls without relying on technical resources. Each entity retains operational flexibility while adhering to a harmonized framework defined by the group. This approach is also based on a dynamic governance of roles and identities, supported by clear structuring of flows and hierarchies interconnected with the HRIS.

This project is a concrete illustration of the dynamic orchestration of roles, identities, and access approach, and aligns with the logic of advanced optimization offered by the full version of ROK, in service of operational performance.

The implementation of the ROK Solution allowed Transdev to quickly observe tangible results at several levels of the supplier process:

• Significant reduction in validation time: over 1,000 supplier requests processed monthly through the application
• Elimination of data entry errors, thanks to clear business rules, controlled fields, and automated checks
• Complete and secure traceability of each validation, attachment, or approval
• Native interoperability with existing ERPs (including SAP), with no data flow disruption or double entry
• Smooth collaboration between teams from procurement, finance, IT, legal, and compliance
• Improved IT governance and greater visibility of the digital initiative among subsidiaries

Beyond the operational gains, the project is part of an accelerated digital transformation, aligned with ROK’s vision: centralize flows, automate repetitive tasks, and secure access to sensitive data.

The choice of a no-code and hyperautomated platform was a strategic lever. It enabled Transdev to manage the evolution of its supplier process independently, while maintaining control over compliance rules, approval paths, and integrations.
